Overview
This suite of features allows Site Admin to add, edit, move, and delete metadata vocabularies for the existing metadata fields supported by the OER Commons Platform.
You can edit, add, and delete:
- Education Levels ( Common -> Grade Sub-levels)
- Grades ( Common -> Grades)
- Media Formats (Common -> Media Formats)
- Subjects ( Materials -> General Subjects)
- Material Types (Materials -> Material Types)
- Educational Uses (Materials -> Educational Uses)
- Primary User Types (Materials -> Primary User Types)
- Roles (Users -> Roles)
You can move:
- Grades ( Common -> Grades)
- Subjects ( Materials -> General Subjects)
- Material Types (Materials -> Material Types)
Below, we'll give a detailed overview of how to change the Subject field as an example.
Editing and Moving Vocabularies
Example: Navigate to Materials -> General Subjects
To edit an existing subject tag:
- Select the subject tag you would like to edit
- Change the text in the Name field and click "Save"
To move an existing subject tag:
- Select the subject tag would like to move
- Click the "Parent" drop down menu
- Select a new Parent from the list to move a subject tag in to a new parent category
- Select ------ to move a subject tag from second order to a first order
- Click "Save"
Once a subject tag is edited or moved the following changes will happen automatically:
- Filters will be automatically updated on the homepage, advanced search, and browse page
- Collection queries that use the subject tag will be updated
- Subject tags will be updated on individual search results
- Search index will be updated so that searching for the new term yields relevant search results. *This may take a few hours, depending on the number of resources that need to be re-indexed
- Metadata application UIs will be updated for end users on Submit from Web and Open Author describe pages
- Metadata application UIs will be updated for site staff and admin in all Django Site Admin pages
Adding New Vocabularies
Example: Navigate to Materials -> General Subjects
To add a new subject tag:
- Click the "Add General Subject +" button in the upper right hand corner of the admin/materials/generalsubject/ page
- Type the Name of the subject tag you'd like to add
- Select a Parent to create a new second level subject tag
- Select ---- to make a new first level subject tag
- Click "Save"
Once a new subject tag is added the following changes will happen automatically:
- Metadata application UIs will be updated for end users on Submit from Web and Open Author describe pages
- Metadata application UIs will be updated for site staff and admin in all Django Site Admin pages
*Filters on the homepage, advanced search, and browse page will be updated once there is at least one piece of content that is tagged with the new subject tag
Deleting Vocabularies
Example: Navigate to Materials -> General Subjects
To delete an existing subject tag:
- Select the check box next to the subject tag in the list you would like to Delete
- Open the Action dropdown menu and select "Delete Selected General Vocabulary"
- Click "Go"
- Review the summary of course related materials, open author items, and collections that will be effected by these changes
- Make sure you note the effected collections and download the effected resources before continuing
- To continue with the deletion, scroll to the bottom of the page and click "Yes, I'm sure" *Deletions cannot be undone
- To cancel the action click "No, take me back"
Once a subject tag is deleted the following changes will happen automatically:
- The subject tag will be deleted from the database entirely
- The subject tag will be deleted from individual records
- The subject tag will be deleted from from collection queries
- The subject tag will be deleted from metadata application UIs on Submit from Web and Open Author describe pages
- The subject tag will be deleted from metadata application UIs all Django Site Admin pages
- Search index will be updated *This may take a few hours, depending on the number of resources that need to be re-indexed
